Notifications

What AINOW Mobile notifies you about, what a notification does and does not contain, how to turn notifications on or off, and what to check when they stop arriving.

Updated 2026-09-05

AINOW Mobile pings you when something needs you — not when something merely happened. There are only a few triggers, and every notification is a title, a short line, and a link straight into the app.

What triggers a notification

  • An approval is waiting for you. Zoe has prepared a change in a connected system and it needs your decision. This fires no matter where the change came from: a chat, a voice call, a workflow run, or an inbound email. See Approvals on the go.
  • A workflow run finished or failed. One of your organization's scheduled or triggered workflows reached its end state.
  • A task you handed off completed. When Zoe delegates work that runs in the background, you are told when it comes back.

Notifications are per organization. If you belong to more than one, you are notified for the one you are currently signed in to.

What a notification contains

The title names what needs you and the organization it belongs to. Approval notifications add a short line describing the kind of change. That is all.

Notifications carry no record content — no ticket text, no field values, no names from your systems. The link inside carries identifiers only, which means a notification sitting on your lock screen discloses nothing about the work itself. Titles are sent in the language your phone was set to when the app registered, English or French (Canada).

Tapping a notification opens the app on the conversation the item belongs to, signing you in first if the session has lapsed.

Turning notifications on

The app asks the first time you reach your workspace after signing in — a moment you chose to be there, not at cold start.

  1. AINOW shows a short explanation: Turn on notifications?
  2. Tap Continue to see your phone's own permission prompt, or Not now to skip.
  3. On the system prompt, allow notifications.

If you tap Not now, the app does not ask again during that session. It asks again the next time you launch the app, as long as your phone still permits the prompt.

The app registers your device each time you launch it or bring it back to the foreground, so a phone that changes its push token keeps working without any action from you.

Turning notifications off

Turn them off wherever your phone manages app notifications:

  • iPhone — Settings, then Notifications, then AINOW.
  • Android — Settings, then Apps, then AINOW, then Notifications.

Signing out of AINOW also removes your device's registration, so a phone you sign out of stops receiving that organization's notifications.

Everything else in the app works with notifications off. You simply have to open the app to see what is waiting, and the count badge on the message box is there for exactly that.

Notifications are not arriving

Work through these in order.

  1. Check the permission. Open your phone's notification settings for AINOW and confirm it is allowed. If you declined once and your phone will no longer prompt, this is the only place to turn it back on.
  2. Open the app once, signed in. Registration happens inside the app, per organization. A phone that has never reached the workspace has nothing registered.
  3. Check which organization you are signed in to. If you belong to several, you are notified for the current one. Tapping a notification for a different organization shows "That notification isn't available for this workspace" — switch organization from the tile at the top left and open it there.
  4. Check battery and focus settings. Battery optimization, low-power mode, Focus or Do Not Disturb, and per-app background restrictions all delay or suppress delivery. Exempt AINOW if you rely on approval alerts.
  5. Confirm there is something to notify you about. Approvals expire after 24 hours; a notification for an expired approval is not resent.
  6. Reinstall the latest test build. During testing a stale build is a real cause — see Limits and tips.

If notifications still do not arrive, tell your AINOW contact which phone and which organization, and roughly when you expected one. See Troubleshooting.

Which events exist to notify you about depends on your organization's plan and connected systems — an organization without workflows will only ever see approval notifications.
