Settings and branding

The organization settings you can change in the AINOW Customer Portal — members, language, voice, document expiry, single sign-on — plus white-label branding and how AI models are registered for your workspace.

Updated 2026-09-05

The Settings page in the left-hand navigation is where an administrator tunes the workspace itself: who is in it, how Zoe sounds and looks, how long generated files last, and how people sign in. Each card saves on its own, so you can change one thing without touching the rest.

Members and administrators

The first two cards manage access — the Members roster with roles and statuses, and the Administrators roster for people who can manage the workspace. Both are covered in Signing in and access.

Language

Choose the portal's language. Your choice is saved on the device you are using and follows you across AINOW surfaces, so it is a personal preference rather than an organization-wide setting.

Voice

The Voice card sets how VoiceIQ behaves for your organization:

  • Default voice — the voice callers hear when they talk to the assistant.
  • Voice approval — whether a spoken "yes" can approve a change Zoe prepared: Always tap to approve, Approve low-risk changes by voice, or Approve any change by voice. See Records, queue and approvals.
  • Greeting — spoken at the start of a call. Use {firstname} or {name} to insert the caller's name, or leave it blank for no greeting.
  • Recording retention (days) — recordings older than this are deleted nightly. Leave it blank to keep recordings until you delete them yourself.
  • Turn detection — how Zoe decides you have finished speaking, for web and mobile: the pause before she replies, speech sensitivity, lead-in audio, and noise reduction tuned for a headset or for a room microphone. Phone lines have their own equivalents on the SIP Channels page.

Raise the pause if Zoe talks over people, and raise the speech sensitivity in noisy rooms. The card shows the platform defaults so you can always find your way back.

Documents

Control how long generated documents — spreadsheets, decks, PDFs and reports — stay available for download before they are deleted. The value is between 1 and 30 days and applies to newly generated documents; existing ones keep the expiry date they were created with.

Branding

The Branding card white-labels the assistant your people see, in both light and dark mode, across the chat widget and the full-page app:

  • Assistant name replaces "AINOW" in the assistant's persona and in the interface chrome. Leave it blank for the default.
  • Chat greeting is the first message on a new chat; {name} inserts the signed-in person's name.
  • Colours — accent, accent hover, accent text, and the widget launcher background, each set with a colour picker and clearable back to the default.
  • Logo — a PNG, JPEG or WebP up to 128 KB, shown in the app header and the widget launcher.
  • Typeface — a curated set of system typefaces: System (modern sans), Humanist sans, Geometric sans, Classic serif, or Monospace. Nothing external is loaded to render them.
  • Assistant appearance — dress the assistant's avatar, which members see in chat and at the top of the agent roster.

Select Save changes to apply. Because the assistant's name flows into how Zoe introduces herself as well as into the chrome, renaming her is a real change to what your people see and hear, not just a label swap.

Single sign-on

By default this workspace signs in with Microsoft Entra ID. The Single sign-on card lets you connect your own OIDC identity provider instead — Okta, Google Workspace, or similar:

  1. Enter the Issuer URL. Its discovery document must be reachable at that address.
  2. Enter the Client ID and Client secret from your provider.
  3. Register the redirect URI the card displays with your provider.
  4. Select Save. The configuration is stored but not yet in effect.
  5. Select Verify & activate, which runs a real sign-in against the provider. On success it replaces Entra for this workspace and the account you verified with becomes an administrator.

Revert to Entra undoes it; anyone signed in through the OIDC provider will need to sign in again.

Models

Model registration lives on its own Models page rather than under Settings. Each row is a registration with an Alias, its Hosting — AINOW-hosted or Bring your own — the provider, the result of a test call under Probe, and which modules it is the Default for. One registration can also be marked the embedding default, used when searching your document repositories.

Adding a model offers two tabs. AINOW catalog registers a model AINOW hosts and operates, with no endpoint or key setup — you pick from the models made available to your workspace and give it an alias. Bring your own connects a model you operate yourself, with an endpoint URL and an API key; the key crosses the wire once at registration and is held in the platform vault.

Bring-your-own registration is only offered when AINOW has enabled it for your organization — if the tab is absent or refused, that is why, and a support case is the way to ask for it. Likewise, if the catalog picker is empty, no models have been made available to your workspace yet.

Other pages in the portal

Several capabilities have their own pages and appear only when your plan and connected systems support them: Directory for browsing your Entra directory, Agents for naming and governing named agents, Repositories for documents Zoe can search, SIP Channels and Email Channels for phone and shared-mailbox personas, Voice calls for recorded calls, Quotas for AI consumption limits by organization, department, person or channel, Billing for your charges, and Customers for managed service providers who administer their customers' workspaces.

Need help with this? Open a support case (sign-in required).
