Signing in and access

How to sign in to the AINOW Customer Portal with your Microsoft work account, who is allowed in, how administrators are added and removed, and what the workspace picker and access messages mean.

Updated 2026-09-05

The Customer Portal is at customer-portal.prod.ainowsolutions.ca. There is one way in: Sign in with the Microsoft work account your organization already uses. AINOW never issues you a separate portal password, so there is nothing extra to remember and nothing to reset.

Who can sign in

The portal is for administrators. Everyone else in your organization uses Zoe at zoe.ainowsolutions.ca instead — they do not need portal access to chat, call, or work their queue.

Your first administrator is added by AINOW when your organization is set up. From then on, any existing administrator can add more from the portal itself. If your organization has connected its own OIDC identity provider (see Settings and branding), sign-in goes through that provider instead of Microsoft Entra.

Adding an administrator

  1. Open Settings in the left-hand navigation.
  2. Find the Administrators card and open Add an administrator.
  3. In Account identifier, enter the account exactly as your identity provider presents it — an email address, a UPN, or an object ID.
  4. Optionally add a Display name so the roster is easier to read.
  5. Select Add administrator.

The new administrator can manage the workspace immediately. The roster shows who added each person and when.

Removing an administrator

On the Administrators card, use the remove control on the person's row. The last administrator can never be removed — the portal and the API both refuse it, so a workspace can never be left without anyone able to manage it. Add the replacement first, then remove the person who is leaving.

Members and roles

The Members card on the same page lists everyone who can reach the workspace, not just administrators. Each member holds one role — Requester, Fulfiller, or Administrator — and one status, Active or Suspended. From here you can change a role, suspend access, reactivate it, or remove a member entirely. As with administrators, the last administrator can never be removed or demoted.

If your organization's Microsoft Entra directory is synced, the Directory page lets you browse everyone in the directory and add people to the workspace — one at a time or in bulk — with a role, before they sign in for the first time.

When you administer several organizations

If your account administers more than one organization, signing in lands you on Choose a workspace. Each row shows the Organization name, its Identifier, and its Type — Standard or MSP provider — and Open workspace takes you in. If you administer exactly one organization, you skip the picker and go straight to its dashboard.

You can switch at any time by returning to the portal's root address. Managed service providers who administer their own customers' workspaces also get a Customers section inside the portal.

If you see "No workspace access"

This screen means the sign-in worked but the account is not registered as an administrator of any organization on AINOW. The exact account identifier AINOW authorized is shown on the screen — that is the string another administrator needs to add.

  1. Copy the account identifier shown under Signed in as.
  2. Ask an existing administrator of your organization to add it on the Administrators card.
  3. Reload the portal.

If you have more than one work account, it is also worth signing out and trying the other one — administrators are matched on the exact account, so name@company.com and a personal account are not interchangeable.

A related message, "You don't have access to this workspace", means something different: your account is listed but this workspace refused it, because the account belongs to a different directory than the one you signed in with, or your membership was removed. Sign in with an account from this organization's own directory, or ask another administrator to add the account shown.

Signing out

Select the round avatar in the top-right corner and choose Sign out. The same menu shows the exact identity the portal authorized, which is useful to quote when you ask AINOW for help. For anything you cannot resolve, open a support case.
